Privacy Policy
Effective 14 September 2026
AXIKA AI Inc. ("AXIKA", "we", "us") operates axika.ai. This policy explains what personal information we collect through this website, why we collect it, and what you can do about it. It covers this website only.
1. Who is responsible
AXIKA AI Inc., a Delaware corporation
2261 Market Street STE 76853, San Francisco, CA 94114, United States
Email: hello@axika.ai
AXIKA AI Inc. is the controller of the personal information described in this policy.
2. What we collect
Information you give us. If you use our contact form, we collect the name, email address, company name and message you enter. Nothing on the form is required except what is marked as required, and you choose what to put in the message.
Contact form submissions are stored in our form provider's dashboard and are also sent to us by email, so there are two copies. Every submission is automatically checked by a spam filtering service before it reaches us.
Information collected automatically. Our hosting provider records standard server log data when you visit — IP address, browser type, pages requested, and the date and time. This is generated by the act of serving the page and is used for security and to keep the site running.
Analytics. We use a privacy-focused analytics service to understand, in aggregate, how this website is used — which pages people visit, where they arrived from, which sections of a page people read, and how many people send us a message. Our analytics provider is based in the European Union and processes this data there. It sets no cookies, does not store your IP address, and does not follow you across other websites. To work out roughly what kind of device you are using, it reads the details your browser reports and your screen width. The statistics we see are aggregated: we cannot identify or look up an individual visitor.
What we do not collect. We do not use advertising, analytics or tracking cookies. We do not buy personal information from data brokers. We do not knowingly collect information from anyone under 16.
3. Why we use it, and our legal basis
| What | Why | Legal basis (GDPR Art. 6) |
|---|---|---|
| Contact form submissions | To read your message and reply to you | Art. 6(1)(b) — steps taken at your request before entering a contract; or Art. 6(1)(f) — our legitimate interest in responding to people who contact us |
| Server logs | Security, troubleshooting, keeping the site available | Art. 6(1)(f) — legitimate interest in operating a secure website |
| Analytics data | To understand in aggregate how our website is used, and to improve it | Art. 6(1)(f) — our legitimate interest in understanding how our website is used |
| Our record of business contacts and correspondence | To keep track of our conversations with you and manage our business relationship | Art. 6(1)(f) — our legitimate interest in managing our business contacts and correspondence |
| Billing and payment information, if you become a customer | To take payment, issue invoices and keep accounting records | Art. 6(1)(b) — performance of our contract with you; and Art. 6(1)(c) — our legal obligation to keep accounting records |
We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects.
We will not add you to a mailing list because you used the contact form. If we ever offer a newsletter, it will be a separate opt-in, and you will be able to unsubscribe from every message.
4. Who else sees it
We share personal information only with service providers who process it on our instructions. They are:
- Website hosting and contact form services (United States) — host this website, generate server logs, and receive and store contact form submissions
- Spam filtering services (United States) — automatically check every contact form submission for spam. To do this they receive the content of the submission and the sender's IP address
- Email and productivity services (United States) — our email; contact form messages are also delivered to our inbox
- Website analytics services (European Union) — for each page view they receive the page address, the site you arrived from, the details your browser reports, your screen width, and your IP address. The IP address is used only to work out your approximate location and to count unique visitors within a single day, and is not stored
- Customer relationship management (CRM) services (United States) — hold our record of business contacts and correspondence, including enquiries sent through this website, so that we can manage our conversations with you
- Payment, billing and accounting services (United States) — process payments, issue invoices and maintain accounting records if you become a customer. These services are not used for information collected through this website's contact form
If you would like to know which specific companies these are, email hello@axika.ai and we will tell you.
Our domain name is registered through a domain registrar. A registrar operates the domain name system record and does not receive or process any information about visitors to this site.
We may also disclose information where we are legally required to, or to establish or defend legal claims.
We do not sell your personal information, and we do not share it for cross-context behavioural advertising — as those terms are used in California law.
5. International transfers
AXIKA is based in the United States and our service providers process data in the United States. If you contact us from the European Economic Area, the United Kingdom or Switzerland, your information will be transferred to the United States. We rely on the European Commission's Standard Contractual Clauses with our providers, or on an applicable adequacy decision where one covers the provider. You can ask us for details using the contact address above.
One exception: our website analytics provider processes and stores analytics data only in the European Union, so that data is not transferred to the United States.
6. How long we keep it
In our email inbox: for as long as needed to deal with your enquiry and to maintain a record of our business correspondence, and no longer than 24 months after our last exchange, unless we have a continuing relationship with you or a legal reason to keep it longer.
In our form provider's dashboard: we delete contact form submissions from our form provider's dashboard on a quarterly basis once they have been dealt with, so the working copy is the one in our inbox.
Server logs: retained by our hosting provider for its standard period, which is short and measured in days.
In our record of business contacts: for as long as we have an active business relationship with you, and for up to 24 months after our last exchange.
Analytics: our analytics provider keeps aggregated statistics only. Nothing that identifies you is retained.
You can ask us to delete your message sooner at any time — see section 7.
7. Your rights
If you are in the EEA, the UK or Switzerland, you have the right to access your personal information, to have it corrected or erased, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on legitimate interests, you can object at any time. You also have the right to complain to your data protection supervisory authority.
If you are a California resident, you have the right to know what personal information we have collected about you and why, to request its deletion, to request correction, and not to be discriminated against for exercising those rights. We do not sell or share personal information, so there is nothing to opt out of — but you may ask us to confirm that.
To exercise any of these rights, email hello@axika.ai. We will respond within the time the applicable law allows. We may need to verify your identity first, which normally means replying from the address you contacted us from.
8. Do Not Track
Some browsers send a "Do Not Track" signal. There is no common industry standard for how to respond to it. We do not track you across third-party websites, so we do not change our behaviour based on Do Not Track signals — there is nothing for the signal to switch off.
9. Cookies
This site does not set advertising, analytics or tracking cookies. If we ever add a cookie that is not strictly necessary to make the site work, we will ask for your consent first and update this policy.
10. Security
We use reasonable technical and organisational measures appropriate to a website of this kind. No website is perfectly secure, and we cannot guarantee that transmission over the internet is free from interception.
11. Children
This website is for business audiences. We do not direct it to children and do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email hello@axika.ai and we will delete it.
12. Changes
If we change this policy we will update the effective date at the top and post the revised version on this page. If a change materially affects how we handle information you have already given us, we will make that clear here and, where we can, tell you directly.
